Payroll Runs
A payroll run calculates salaries for every active employee in a pay period. Each run moves through a controlled lifecycle with review and approval gates.
Run Lifecycle
| Status | Meaning |
|---|---|
| Draft | Run initialized, not yet calculated |
| Processing | Salaries being calculated |
| In Review | Payslips generated, awaiting review |
| Reviewed | Marked as reviewed, awaiting approval |
| Approved | Approved, ready to finalize |
| Finalized | Locked — bank file and payslip downloads available |
| Paid | Payout completed |
| Reverted | Finalized data unlocked (requires a reason) |
Running Payroll
Create the Run
On the Payroll dashboard, click “New Payroll Run”. Pick the Month, Year, and Pay Cycle (Monthly, Bi-weekly, or Weekly), then click Initialize.
Process
Open the run and click Process Payroll. Tickmark calculates each employee’s payslip from their contract, salary structure, attendance, approved leaves, loans, and reimbursements.
Review
Check the summary cards (Gross Earnings, Total Deductions, Employer Cost, Net Payable) and the per-employee payslip table. Use View breakup on any row to inspect the calculation, or the edit icon to adjust a payslip. Click Mark as Reviewed when done.
Approve
Click Approve to sign off on the reviewed run.
Finalize
Click Finalize to lock the run. You can now Download Bank File for salary transfer and Download All Payslips (ZIP).
Rerun & Revert
- Rerun Payroll — Available while a run is in Processing, In Review, Reviewed, or Approved. Deletes all current payslips and recalculates from scratch.
- Revert — Available on Finalized runs. Unlocks all finalized data and requires a Reason for revert.
Rerunning deletes every payslip in the run, including manual adjustments. Revert only when you need to correct a finalized period.
Audit Trail
Every lifecycle action — process, review, approve, finalize, revert — is recorded in the payroll audit trail with the acting user and timestamp, so finalized numbers are always traceable.
Payroll math depends on good inputs: set up Salary Structures, Attendance, and Payroll Settings before your first run.
