Set Up Invoicing
Everything here lives in Settings → Invoicing. You need the manage invoices permission.
Add a billing registration
A registration is a legal identity you invoice under: in India, one per GSTIN.
| Field | Why it matters |
|---|---|
| Legal name, address | Printed as the seller on every document |
| GSTIN (or tax ID) | Decides the state and so CGST/SGST or IGST |
| Series prefixes | The start of each document number, for example INV/ |
| Bank account, UPI ID | Printed on the invoice; the UPI ID adds a scan-to-pay QR |
| LUT number and validity | Lets you export without IGST |
| Default tax code | Pre-selected on new lines |
Mark one registration as the default. A deal can name another.
Check your tax codes
Tax codes come from the rate table for your country (for India: 0%, 5%, 12%, 18%, 28%, exempt, nil-rated and more). Add your own codes if you need them; you cannot change the rate of a code that is in use.
Set your preferences
Under Preferences:
- Terms: default payment terms in days, notes and terms text.
- Payment reminders: which days relative to the due date to remind clients (for example 3 days before, on the day, 7 days after), how many reminders at most per invoice, and a daily cap for the workspace.
- Drafting from payment plans: draft invoices automatically a few days before an instalment is due, and optionally issue and send them.
- Approvals: invoices above an amount or a discount, and write-offs above an amount, wait for a second person.
- Accounting export ledgers: the ledger names in your accounting system, used by the journal and Tally exports.
Connect online payments (optional)
Click Online payments on a registration to connect your own Razorpay account: enter the key ID and secret, copy the webhook URL into Razorpay with the events payment_link.paid, payment_link.partially_paid and payment.captured, and enter the webhook secret you chose there. Turn on Show the Pay button to clients when you are ready.
Turn on e-invoicing (India, optional)
If your turnover requires e-invoicing, click E-invoicing on the registration, choose your provider, enter its credentials and the date from which documents must be registered. B2B, SEZ and export invoices and their credit notes are then registered with the IRP when they are issued, and the IRN and signed QR print on the PDF.
A registration’s country cannot change once it has issued documents. Add a new registration instead.
