Manage Deals

A deal captures one commercial engagement with a client: its value, currency, status, and everything collected against it.

Creating a Deal

Open the Deal Form

Navigate to Deals and click “New deal”.

Fill in Deal Details

  • Title — What the engagement is (e.g. “Website redesign”)
  • Client — Pick an existing client or add one inline with the + button
  • Currency — The deal’s currency; every plan and payment on the deal uses it
  • Total value — Expected amount; leave blank for open-ended retainers
  • Expected close date and Description — Optional context

Create

Click “Create deal”. You land on the deal’s detail page, where you can add payment plans.

A deal’s currency is locked once payments exist on it — choose it carefully up front.

Deal Statuses

Change status from the “Change status” dropdown on the deal page. Only valid transitions are offered; marking a deal Lost or Cancelled asks for a reason.

StatusCan move to
OpenWon, Lost, On Hold, Cancelled
On HoldOpen, Won, Cancelled
WonCompleted, On Hold, Cancelled
Lost / Cancelled / CompletedFinal — no further transitions

Alongside the status, every deal shows a payment badge derived from its money: Unpaid, Partial, Paid, Overpaid, or Overdue, plus summary cards for Total value, Received, Outstanding, and Overdue.

Linking Projects

On the Projects tab, click “Link projects”, tick the projects to attach, and confirm. Each project can belong to only one deal; unlink a project with the × button on its row.

Deal Team & Ownership

On the Team tab, add members with a role — the defaults are Lead Owner, Closer, Contributor, Pre-sales, Account Manager, and Referrer, or type a custom role. Role labels are org-configurable in Settings.

Row-level visibility — Admin and Finance roles see every deal in the workspace. Everyone else sees only deals they own or collaborate on.

Exporting Deals

Click “Export” on the deals list to download the current (filtered) view as CSV — number, title, client, status, payment status, currency, value, received, outstanding, and overdue for each deal. The Payments tab on each deal has its own CSV export.
