Record Payments

Record money as it arrives, allocate it to scheduled installments, and handle clearance, voids, and refunds.

Recording a Payment

Open the Payment Form

On a deal’s Payments tab click “Record payment” — or click “Collect” on a specific installment in the Payment plans tab to pay it directly.

Click “Record payment”. With “Auto-allocate to schedule” on (the default), the amount is applied to scheduled installments oldest-due-first; collecting from an installment allocates straight to it. Tickmark warns if a similar payment already exists so duplicates aren’t recorded by accident.

Payment History & Statuses

The Payments tab lists every payment with date, number, mode, reference, status, and the amount allocated to this deal (split payments across deals are flagged). Use the row menu to move a payment through its lifecycle — Mark pending clearance, Mark cleared, Mark bounced, Mark failed, or Mark received — useful for cheques and transfers in transit.

From the same menu you can reassign a payment to another deal (single-allocation payments only) or void it with a mandatory reason. Click “Export” to download the deal’s payment history as CSV.

Locked records — Payments lock automatically once they are Cleared, Refunded, or Partially refunded (and can also be locked explicitly, e.g. after a finalized report). Every lock, status change, and void is written to an audit log.

Refunds

Record money returned to a client from the deal’s Refunds tab.

  1. Click “Record refund” — the dialog shows the net amount received on the deal
  2. Enter the Amount, Refund date, Mode, optional Reference no., and a mandatory Reason
  3. Click “Record refund”

Refunds reduce the deal’s net received total and update the payment badge (a fully refunded overpayment clears an Overpaid state). Pending refunds can be cancelled with a reason; deals awaiting one show a Refund due flag next to their title.
