Leave Management
Track leave balances, requests, and approvals against configurable leave types and policies, with an org-wide holiday calendar.
Leave Types & Policies
Configure both at Settings → Payroll & HR:
- Leave Types — Name, code, days per year, accrual type (Annual, Monthly, Quarterly), paid/unpaid, half-day support, carry forward, encashment, advance-notice rules, and Sandwich Rule settings (whether holidays/weekly offs between leaves count as leave).
- Leave Policies — Bundle leave types with per-type allocations and applicability (All Employees, Full-Time, Part-Time, Contractor, Freelance, Intern, Commission). Each employee gets a policy via their employment contract.
Request & Approval Flow
Apply
Employees go to Payroll → My Leaves and click Apply Leave — choose the Leave Type, Start Date, End Date (with optional First Half / Second Half), and a Reason. HR can also apply on an employee’s behalf from Payroll → Leaves.
Review
Approvers open Payroll → Leaves, filter by status, and open a request. In the Review Leave Request dialog, add an optional comment and click Approve or Reject.
Cancel
Pending requests can be cancelled by the employee; the balance is restored.
| Status | Meaning |
|---|---|
| Pending | Awaiting review |
| Approved | Deducted from balance; reflected in attendance and payroll |
| Rejected | Declined with reviewer comment |
| Cancelled | Withdrawn before use |
Balances & Accrual
- My Leaves shows each employee their per-type balances before applying.
- Run Monthly Accrual (on Payroll → Leaves) credits monthly/quarterly accruing types.
- Year-End processing carries forward balances per each type’s carry-forward limits and closes out the previous year.
- HR can adjust or initialize individual balances when onboarding mid-year.
Holiday Calendar
Manage holidays at Settings → Payroll & HR → Holiday Calendar:
- Add holidays with a Type — National, Restricted, or Company — plus Optional Holiday and Half Day flags
- Click “Load Indian Holidays” to seed a year’s standard national holidays in one step
Holidays automatically appear in attendance and are excluded from leave-day counts (unless a sandwich rule includes them).
Unexcused absences can be bulk-converted into LOP leave requests from the Attendance page before payroll runs.
